What to Expect When Working With a Licensed Canadian Immigration Consultant

Understand authorization, service agreements, communication, and your own responsibilities when retaining an immigration consultant.

Verify the consultant before paying for advice

A person who charges for Canadian immigration or citizenship advice must be authorized to do so. Regulated Canadian Immigration Consultants are licensed by the College of Immigration and Citizenship Consultants. Before paying a fee or sharing detailed personal information, search the College’s Public Register and confirm the consultant’s name, licence status, contact information, and entitlement to practise.

IRCC also recognizes lawyers and paralegals who are members in good standing of a Canadian provincial or territorial law society and Quebec notaries who are members of the Chambre des notaires du Québec. The title someone uses online is not enough. Verification through the appropriate regulator is a practical first step, especially if you found the person through social media or an unsolicited message.

Expect a defined scope of work

A consultation may be limited to advice about a specific question. Broader representation may include reviewing evidence, preparing forms, communicating with IRCC when authorized, or helping respond to a request. The professional should explain what is included, what is excluded, what you must provide, and what events could require additional work.

If you retain the consultant for services beyond an initial consultation, expect a written service agreement before the work begins. Read it carefully. It should identify the parties, describe the services, explain fees and payment terms, and set out responsibilities. Ask questions about anything you do not understand and keep a copy of the signed agreement and receipts.

Honest information is essential

A consultant will ask detailed questions because small facts can change the analysis. Provide complete and accurate information about your immigration history, family, education, employment, status, previous applications, refusals, and other issues relevant to the service. If you are unsure, say so rather than guessing. Do not ask a representative to hide information or submit something you know is inaccurate.

You remain responsible for the information in your application even when a representative prepares it. Review forms and supporting documents before they are submitted. Never sign a blank form or a document you cannot understand. A responsible consultant should not promise approval, claim special influence over IRCC, or encourage false statements. Canadian authorities—not representatives—make immigration decisions.

Communication should be clear and professional

At the beginning, confirm the normal method and frequency of communication. Ask who will contact you, how documents will be exchanged, and how urgent updates should be handled. Respond to reasonable requests promptly and tell the consultant about changes to your contact details, family situation, employment, travel, status, or other facts that could affect the matter.

Professional service does not mean receiving an immediate response at every hour. It does mean knowing how to reach the practice, receiving important updates, and having questions about the agreed service addressed. Keep your own organized copy of forms, correspondence, receipts, and evidence. Clear records help both you and the consultant understand what has been completed.

Advice does not equal a guarantee

A licensed consultant can explain options, identify risks, organize information, and provide professional assistance within the agreed scope. They cannot guarantee an approval, control processing times, or make an ineligible application eligible through presentation alone. A trustworthy working relationship combines professional judgment with your active participation, accurate instructions, and realistic expectations.
