1. Who we are and who is accountable
NGC Immigration Services Inc. is a solo-run Canadian immigration consulting practice based in Ontario and is responsible for the personal information under its control. Privacy questions, access and correction requests, consent withdrawals, and complaints should be sent directly to NGC Immigration Services Inc. using the verified email address displayed with the consultant profile.
This policy applies to this website, initial inquiries, related communications, and personal information later handled in connection with a written consultation or service agreement. A signed agreement may contain additional terms appropriate to the professional service, but it does not reduce rights that cannot lawfully be waived.
2. Personal information we collect
We collect only information reasonably needed to review and respond to an inquiry, protect the website, communicate with you, and meet legal or professional obligations.
- Information you submit, such as your name, email address, optional telephone number, preferred contact method, requested service, general location, optional Canadian immigration-status category, important deadlines, and a brief general description.
- Records showing that required privacy consent and website acknowledgements were provided.
- Technical and security information, which may include an IP address, request headers, approximate device or browser information, language selection, timestamps, rate-limiting records, and Cloudflare Turnstile verification data.
- Communications and records created if an inquiry progresses to a written consultation or service agreement.
3. Information the inquiry form does not request
Do not use the initial inquiry form to send passport copies or numbers, UCI or application numbers, dates of birth, medical information, financial records, identity documents, detailed immigration records, confidential documents, or an extensive personal history. The form does not permit document uploads.
If more information is appropriate, NGC Immigration Services Inc. will first explain what is needed and how it should be provided. Email and website forms cannot be guaranteed to be completely secure.
4. Why we use personal information
- To deliver, review, and respond to an initial inquiry.
- To assess whether a consultation, referral, or another next step may be appropriate.
- To contact you using the method you select.
- To maintain security, prevent spam and abuse, troubleshoot delivery, and enforce reasonable submission limits.
- To identify conflicts, establish who the client would be, obtain proper instructions, and meet legal, insurance, regulatory, record-keeping, and complaint-handling obligations if professional services are considered or provided.
- To respond to lawful requests and protect the rights, safety, and integrity of NGC Immigration Services Inc., its clients, and others.
5. Consent and your choices
The inquiry form requests express consent to collect, use, and disclose the submitted information for the purposes described at the point of collection and in this policy. We do not make consent to an unrelated purpose a condition of responding to an inquiry.
You may withdraw consent, subject to legal, contractual, regulatory, or record-retention restrictions. Withdrawal may prevent NGC Immigration Services Inc. from responding, assessing the inquiry, or continuing a service. Contact NGC Immigration Services Inc. using the verified email address displayed with the consultant profile to withdraw consent or ask about the consequences.
If we propose a materially new use or disclosure that is not reasonably connected to the original purpose, we will explain it and obtain new consent where required.
6. Children and young people
Ontario’s age of majority is 18. Privacy consent nevertheless depends on whether the person can meaningfully understand the nature and consequences of the collection, use, and disclosure. It is not determined by age alone in every circumstance.
If a person is under 13, an inquiry should normally be submitted by a parent or legal guardian. A person aged 13–17 should provide only basic contact information and a high-level description without sensitive details or documents. The initial inquiry form does not request an exact age or identity category.
Before a consultation or representation, NGC Immigration Services Inc. will properly assess and verify identity, capacity, the actual client, who may give instructions, any accompanying adult’s authority, confidentiality, and conflicts of interest.
NGC Immigration Services Inc. will not apply a blanket rule that an adult must participate in every youth matter. If parental involvement is unavailable, unsafe, or potentially contrary to the young person’s interests, NGC Immigration Services Inc. will use professional judgment and applicable confidentiality and conflict procedures.
7. Service providers and disclosures
NGC Immigration Services Inc. uses service providers for website hosting, content delivery, security verification, email delivery, content management, and business email. These currently include Vercel, Cloudflare Turnstile, Resend, Sanity, and the provider that hosts NGC Immigration Services Inc.’s recipient mailbox.
We limit provider access to what is reasonably necessary for the service. Providers may process or store information outside Ontario or Canada. Information in another jurisdiction may be accessible to courts, law enforcement, regulators, or national-security authorities under that jurisdiction’s laws.
- Professional advisers, interpreters, translators, insurers, or other authorized professionals when necessary and permitted.
- The College of Immigration and Citizenship Consultants or another regulator when production or reporting is required.
- IRCC or another government body only when authorized in the applicable professional matter or required by law.
- Law enforcement, a court, or another person when disclosure is authorized or required by law.
8. No sale, behavioural advertising, or unrelated marketing
NGC Immigration Services Inc. does not sell or rent inquiry information and does not use it for behavioural advertising. Google Analytics is not used on this website.
NGC Immigration Services Inc. does not currently operate a marketing newsletter. Any future promotional electronic messages will require an appropriate, separate consent process and an unsubscribe mechanism where required by Canada’s anti-spam law.
9. Retention and deletion
An inquiry that does not become a consultation or client matter is scheduled for deletion after 12 months. It may be retained longer when reasonably necessary for a complaint, legal hold, security investigation, regulatory issue, or another lawful purpose.
If an inquiry progresses to a signed consultation or service agreement, records forming part of the client file are retained for at least six years after the file is closed, in accordance with CICC file-management requirements and any longer period required by law.
Records of privacy breaches are retained for the period required by PIPEDA regulations, currently at least two years. Deletion from active systems may not immediately remove information from protected backups or provider systems; those copies are restricted and expire through the applicable backup or provider cycle.
10. Safeguards and privacy incidents
NGC Immigration Services Inc. uses administrative, technical, and contractual safeguards appropriate to the sensitivity and volume of information. These include access controls, limited collection, server-side validation, security verification, controlled provider access, and retention practices.
No website, email system, or method of transmission can be guaranteed completely secure. NGC Immigration Services Inc. assesses suspected breaches and will notify affected individuals and report to the Office of the Privacy Commissioner of Canada when a breach creates a real risk of significant harm and notification or reporting is required.
11. Access, correction, withdrawal, and complaints
You may ask whether NGC Immigration Services Inc. holds personal information about you and request access to or correction of that information. NGC Immigration Services Inc. may verify identity before responding and may refuse or limit access only where permitted or required by law. Responses will be provided within the period required by applicable law.

12. Changes to this policy
The effective and last-reviewed date appears near the beginning of this policy. We may update this policy when practices, providers, or legal requirements change. Material changes will be communicated appropriately, and new consent will be requested where required.
